Job Description

The primary job of the Administrative Education Specialist of Washington Art Association & Gallery (WAA) is to offer support to the work of the office in addition to, but not be limited to, the following activities. The Administrative Education Specialist will report directly to the Executive Director.

Part-time position with the potential to transition to a full-time role based on performance and business needs

  • Oversee Implementation of WAA’s education program: support instructors, ensure website has up to date information regarding classes and workshops and work with office colleagues in this regard, create marketing materials to build interest within WAA’s membership and prospective students/instructors/classes/workshops/field trips, enroll students, coordinate and track payment for classes and workshops including refunds, track attendance, request payment for instructors
  • Support Members: create content for Constant Contact messages to members/students/instructors to keep them informed of WAA’s current and future classes/workshops/artist lectures/activities, execution of email blasts, updates, newsletters, etc.
  • Model Scheduling: Ensure models are scheduled two months in advance and meet the needs of class requirements
  • Provide communication support: answer, reply to, and/or relay all, both phone and e-mail, to Executive Director, Trustees, Members, Instructors, Donors, Volunteers, and Visitors
  • Customer Service: greeting visitors, answering questions about the gallery’s exhibits and artists, and providing assistance with purchases
  • Bulk Mailings: assist with the collation of bulk mailings throughout the year (education announcements, invitations, brochures)
  • Keep information current: schedules, contact information, lists and material needs
  • Track and order: educational supplies
  • Social Media Management: create and post content to WAA’s social media platforms highlighting class/workshop/lecture engagements, and showcasing instructors
  • Maintain databases: entry and information maintenance, mailing lists, reports, etc.
  • Support all colleagues

 

Required Skills And Qualifications

  • Proven experience as an administrative assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Bonus: proficiency in Constant Contact, WordPress, and Google Apps
